Motrex LLC Executive Administrative Assistant in Alpharetta, Georgia
Overview
The Executive Administrative Assistant provides the support necessary for executive staff to lead the day-to-day functions of their departments. The handling of confidential information is part of daily responsibilities. The Executive Administrative Assistant enhances executives’ effectiveness by providing appointment scheduling; document preparation and distribution; travel planning and expense reporting; communication with leadership, outside callers and visitors; and special projects as assigned by leadership.
Position will support multiple executives: CFO, EVP – Commercial, EVP – Operations, Chief Counsel and CHRO.
Responsibilities
Event Planning & Assisting with Meetings including but not limited to:
Plant Managers Annual Meetings
Industrial / Transportation Annual Meetings
Corporate Office “Happy Hours” / Veterans Day / Founders Day / Holiday Events, etc.
Department/Functional Area General Support:
Work with CFO / HR / Legal on updating and maintaining Policies & Procedures
Work with CFO / HR / Legal with scheduling and coordinating recurring meetings with respective teams, business partners (bankers, etc.)
Travel and Expense Reporting:
Expense reporting for leadership team and approval or direct reports
Coordinating travel
Annual Customer Holiday Gift Program:
Work with Commercial team on recipient list
Select, organize, have shipped out, track delivery
Office Supplies (not breakroom) Management:
Order, Inventory, Stock general supplies + stationary + business cards for leadership
Onboarding new employees:
Ordering of equipment, systems access, etc. for leadership team and their immediate direct reports
Qualifications
Prior experience supporting multiple C-level executives within a large business
Have strong innate ability to understand which matters are confidential and sensitive and to act with discretion and finesse
Ability to coordinate and communicate workflow with EA to CEO
Ability to be resourceful, proactive and think independently.
